Easy Care playbook 1: Prepare
This playbook is your starting point. Before you bring clients in or run any team training, there are a few simple things to get in place. Work through these steps and you’ll have a solid foundation to build on.
1. Choose a lead person

Every successful launch has one person quietly keeping things moving. Pick someone who will take ownership of Easy Care day-to-day — not the whole team, just one person.
They don’t need to know everything yet. They just need to be organized, reliable, and willing to take the lead.
For practice owners and managers: This works best when someone else runs with it. Stay involved, but don’t try to manage it yourself.
One person owns it. Everyone else supports it.
If everyone’s responsible, no one is.
Delegate it properly — then let them run with it.

Before bringing the team in, make sure you understand the basics yourself — what’s included in the plan, why it exists, and how it helps your clients and patients.
You’re not memorizing details. You just need to be able to explain it in a simple, natural way.

At this stage, you’re just giving the team a heads-up. Let them know you’ll be introducing Easy Care, why it matters, and roughly what will change.
Keep it short. No long training sessions yet.
Tip: If you over-explain now, people switch off.

This is the bit that makes everything easier later. Have a quick think about when plans will come up naturally (consults, checkout, etc.), who mentions them first, and what happens after that.
You don’t need the perfect system — just a simple starting point.

Before speaking to clients, make sure everything works behind the scenes:
- Easy Care is set up
- Payments make sense
- The team knows who to go to if something gets stuck
Tip: It’s much easier to fix things now than mid-conversation with a client.

Don’t feel like you need a big “launch day.” Start small. Use it with a handful of clients, see how it feels, and adjust as you go.
This is where most of the real learning happens.

Give yourself something small to aim for — maybe your first 10–20 plans. Nothing ambitious, just enough to get going.
The goal here is momentum, not perfection.

Most practices trip up in the same places:
- Trying to train everyone before doing anything
- No clear person in charge
- Treating plans as an “extra” instead of part of normal care
- Overcomplicating what should be simple
If in doubt, simplify and keep moving.
